Participants per call by plan

The agent icon now shows missed calls in a green circle on the left and unread messages in a red one on the right, both with a white number – in the notification area or menu bar, on the Windows taskbar, in the Mac Dock and on the window under Linux.

Next to “Connected”, the agent menu shows the address it is paired with. That way it is obvious right away when a device is linked to a different account and therefore does not ring for your calls.

“Choose ringtone…” in the menu now opens the call settings in the desktop app window instead of the browser. During a call in the window, or without an embedded web view, it still opens in the browser.

Privacy policy: locations instead of providers

Under “Recipients and processors” the privacy policy now names the countries where the servers are located – Austria and Germany – instead of a single provider.

Report and block in the chat

Right-click a conversation or use the menu at the top: “Report …” sends a report to the operators, “Block …” means the person no longer finds you in the chat and can no longer write to or call you. The list of blocked people is under Settings → Account – in the mobile app as well.

Delete account

Under Settings → Account you delete your account yourself, and as the owner of a Pro organisation the whole organisation; the Pro admin deletes members under Pro Admin. Final deletion happens after 30 days – until then the account is locked, mail keeps arriving, and after signing in you cancel the deletion with one click.

Home page: Made in Europe

The home page now says where sarebamail is made and runs: developed in Austria, hosted in Austria and Germany, under European data protection law – with an open note on what is touched outside the EU.

Stored backups stay readable after stopping

Anyone who stopped or re-created the automatic backup could no longer open the backups stored until then with the backup password. Now the key of every backup is kept – for the organisation backup as well. Backups whose plan was stopped or re-created before this update cannot be recovered this way.

The new sarebamail icon now also appears in the website header, on the sign-in page and on the left of the top bar – in the browser and in the desktop app.

Backup: trash and earlier versions

The backup now also includes the trash of “My files” and the earlier versions of your files. When restoring, what is missing comes back – into the trash with the original deletion time, or under “Versions” of the file. What exists stays unchanged.

Backup: secure mail attachments

The backup now also includes attachments of secure mail – encrypted, as they are stored. When restoring, they come back with their message; every attachment is first checked against the message’s signed header.

Email when there is not enough space for the backup

If an automatic backup fails because the storage or the “Backup by sareba” package is not sufficient, an email with the numbers is sent – to you, or for the organisation backup to all Pro admins. Once at the first failure, then at most once a week while it persists.

Backup: mailboxes on the connected mail server

If your mailbox is on a connected mail server, all folders with all messages plus appointments, contacts, tasks and notes are now included in the backup – also in the automatic and the organisation backup. The backup only reads and changes nothing on the server. Restoring adds: missing items are created, nothing twice, nothing deleted.

“Backup by sareba” package

Bookable under Pro Admin → Expand: sareba keeps backups outside your storage in its backup box – they do not count towards “My files”. Members choose “At sareba” for their automatic backup, and the Pro admin can also set up the automatic backup of the whole organisation. Encrypted with your backup key or the organisation’s – sareba cannot open the backups. Restore directly from the list.

Backup of the whole organisation (Pro Admin)

Pro Admin → Organisation backup: one file with the state of all members (mail, calendar, contacts, files, chats, secure mail encrypted only, settings) and of shared mailboxes, optionally encrypted with a password. Restoring works one member after another, with the same choice per area as for your own account. Every member sees in their own sign-in log that their account was backed up or restored.

Automatic backup (Pro)

Settings → Backup → Automatic backup: daily or weekly at night into the “Backups” folder of “My files”, keeping the last 3 to 30. Encrypted with a key of its own that only your backup password opens. If storage is not sufficient, no backup is created – a clear notice shows how much is missing and leads to expanding it. Stored backups can be restored with one click.

The “Backup” tab shows its description, and “My files” shows the size of your own files instead of the whole organisation.

Backup of your own account

Under Settings → Backup you download the full state of your account as a file: emails with folders and rules, calendar, contacts, tasks, notes, your files, chats, secure mail and settings – optionally encrypted with your own password (default). Works on every plan and even with full storage.

Restore and chat archive

A backup can be restored: preview, then per area add, reset to the state of the backup or skip. Before a reset the current state is backed up. Chats go into a separate chat archive to read and search. With full storage you can only read.

Edit together live

Text files and documents can now be edited by several people at once in the browser: what someone types appears for everyone else right away, the top shows who is working along, and in documents a named cursor shows where someone is writing. It is saved with “Save” – by anyone, for everyone. Spreadsheets and presentations still ask when saving.

Edit on the PC and in the browser at the same time

If a file is saved elsewhere in the meantime (drive on a PC, another window, another person), the editor shows it right away. Text files are merged line by line when saving – including what the PC saves through the drive; only if the same line was changed in both places are both versions marked in the text. For documents, spreadsheets and presentations the editor asks: save anyway, as a copy or reload. Nothing is overwritten – earlier versions stay under “Versions”.

No more empty file after saving on the PC

When saving through the drive, Windows often creates a file empty first and then writes the content. An empty version appeared in between; the drive now briefly holds back the emptying.

Edit text files directly

TXT, Markdown, JSON, log and other text files in “My files” open in the text editor with one click; saving creates a new version and keeps the encoding and line endings. Text files can now also be uploaded through the page.

Open with …

Files that sarebamail does not open by itself now ask on click: text editor, document, spreadsheet, presentation or download. Document, spreadsheet and presentation save a new file next to it; the original stays.

Drive, calendar and contacts in programs

My files as a drive (Windows Explorer, Finder) and calendar and contacts in programs can be connected again – folder addresses ending in a slash used to be redirected. The Windows instructions are new.

No update in the middle of a call

When the server restarted, the desktop app could miss a call and restart for an update. A running call now registers itself again after every restart, and the app waits three more minutes after the call.

When the browser and the desktop app ring at the same time, the app now reliably takes the call: the browser stops ringing right away, and the app no longer reports itself as busy by mistake.

Shared calendars and address books in your calendar program

Calendars and address books shared with you now also appear in programs such as Thunderbird, Apple Calendar or DAVx⁵ – as a calendar or address book of their own, with the same rights as on the web.

Report a problem with one click

The small bug icon at the top right opens “Report a problem”. Every report goes straight into the sarebamail team’s internal ticket system – from the browser, the desktop app and the mobile app.

Call in a separate window

At the top of the call, “In a separate window” moves the conversation into its own window – the connection stays up, and mail, calendar and search remain usable in the main window. “Back to the main window” or closing that window brings the call back.

Keep working during a call

In the desktop app a video call stayed large over the window after switching to mail, calendar or other areas – the sidebar and search did not respond. It now shrinks to the bottom right.

Test ringtone

In the menu at the agent icon, “Test ringtone” plays the ringtone for a few seconds – to check whether a call can be heard on this device. The log now records when it rang and when the call notification was shown.

Share calendar and address book

For mailboxes on the sarebamail mail server: right-click “My calendar” or “My contacts” → “Share …”. With any sarebamail address, as free/busy (busy times only), read, edit or manage; private events stay private. The person receives a short message and sees “Calendar of …” in their list.

Duplicate, copy and move events

Right-click an event: “Duplicate”, “Copy to calendar …” and “Move to calendar …”. Title, location, description and time are carried over, without attendees and recurrence; single events can be moved.

Preparing to move mailboxes

Prepared for iPhone calls in the background

An iPhone with the sarebamail app can ring like a phone call even when the app is closed. Apple only receives an empty message without caller or content; the phone fetches the name itself. The app is not in the App Store yet.

An Android phone with the sarebamail app now counts as reachable: calls ring there even when no browser is open and can be answered in the app – directly from device to device, as in the browser. The app is not in the stores yet.

When writing a secure message there is now “Save as draft”. Drafts appear in the new “Drafts” folder, are encrypted in the browser for your own key and can be opened on each of your devices; they disappear after sending.

Always allow or block senders

In mailsecurity by sareba senders or whole domains can be allowed or blocked permanently – in a list or right on a held message. Blocked ones go to the junk folder, allowed ones are released at once. Release and reject now always sit in a bar above the list, also for several messages at once.

Tasks uses the full width: Open, Today, Overdue, Planned, Important and Completed with counts on the left, the list with the quick-add line in the middle, and on wide screens the selected task for editing on the right (otherwise in a window as before). On narrow screens the filters sit as buttons at the top.

Secure mail uses the full width

When unlocked, secure mail now shows – like mail – the folders and “New message” on the left, the list in the middle and the open message or the editor on the right. A slim bar at the top holds the status, “Pair a new device”, “Keys, locks and recovery” and “Lock”. On narrow screens list and message appear one after the other.

The whole app in the agent window

The agent's window now shows the same bar as the browser: overview, mail, secure mail, calendar, contacts, tasks, notes, chat, files and mailsecurity by sareba – no longer only chat and calls. In the menu it is called “Open sarebamail…”. Clicking a notification about mail, secure mail or an appointment opens the right place in the window; if a call is running there, the browser opens instead so the call is not interrupted.

Secure mail: key stays unlocked

Once unlocked, the key for secure mail and encrypted chats stays open in this browser – in all tabs and windows and after reloading – until you choose “Lock”, sign out or 12 hours have passed. Until now every new tab and every reload asked again.

Next to “New mail” there is now “New secure mail” (also in the overview's right-click menu). Without a key, the page first guides you through setting one up.

The spam filter is now called mailsecurity by sareba

The tab with the shield in the left bar is called “mailsecurity by sareba” and is visible for all accounts. Its quarantine is currently available for mailboxes on the sarebamail mail server. The home page now shows the features with icons, including secure mail, My files and Office, and mailsecurity by sareba.

Screen sharing: sharing a second time works again

If two people shared their screen one after the other or almost at once, sharing no longer worked afterwards. The connection now negotiates changes in order, even when both sides change something at the same time.

Call view like Teams, only more flexible

Everyone in a call may share, several at once. Under “View” you choose Automatic, Gallery, Stage or Arrange freely (drag tiles, make them wider, taller, larger, smaller). Via ⋮ on a tile: show large (pin, several possible), hide (audio keeps playing) or detach into its own window and dock it again. Zoom for shared screens with large buttons. The layout only affects your window.

Agent: count on the app icon, notifications open the agent window

Missed calls and unread messages now also show on the app icon: on Windows as a badge on the window's taskbar button (green dot during a call), on macOS on the Dock, on Linux on the launcher (e.g. Ubuntu Dock). When a call rings, the button flashes or the Dock bounces. Clicking a chat notification and the “Reply” and “Call back” buttons open the conversation in the agent window instead of the browser. Notifications still only name the sender.

End-to-end chats: recovery by the organisation

If someone replaced their secure mail key, recovery by the organisation's administration now also restores their end-to-end chats – not only secure messages. The member's browser only accepts this if it opens a genuine, signed message of the conversation.

End-to-end encrypted chat

When starting a conversation or group you can choose “End-to-end encrypted” if everyone involved has a secure mail key. Only their devices then encrypt and decrypt texts; every message is signed by its sender. Such conversations show a lock; to read and write, you unlock your key right in the chat. Group name, reactions, name and size of announced files, and who writes when are not end-to-end; GIFs and guests are not available there. Existing conversations stay as they are.

Arrange your overview freely

With “Customise” you move widgets by their handle, change width and height at the edge and corner, and hide what you don't need. “Widgets” shows them again or restores the default. Saved for your account, the same on every device; on narrow screens the widgets are stacked.

Secure mail: unlock a new device with another one

On a new device choose “Unlock with another device”; it shows a code and a check value. On a device where your key is already unlocked, enter the code under “Pair new device” and compare the check value – then the key arrives encrypted for this new device only. No passphrase or code needed, also in the agent's window.

Mobile app: notifications without Google services prepared

The mobile app registers as a device (shown under Settings → Devices, counts towards the device limit). On Android it keeps its own connection to the server and only shows who sent something – without Firebase. The server wakes iPhones via Apple with an empty message only, without sender or content. The app is not in the stores yet.

Secure mail: recovery, deputising and log

If you have lost all locks, set up a new key under “Lost all locks?”; your organisation's administrators recover your earlier messages with their recovery key. If a member allows deputising (can be withdrawn at any time), the administrators can open individual messages of theirs – e.g. during holidays. Everything is recorded in a log with a hash chain, which every member sees for themselves and the administrators see and export in full.

Secure mail to recipients without sarebamail

If an address has no key yet, invite it via link when composing: you set a passphrase (a strong one is suggested) and choose how long the link is valid (7, 14 or 30 days). You send the link yourself, e.g. by normal mail, and the passphrase another way. The recipient opens the message in the browser – decryption happens there; after several wrong attempts the link locks itself. Under “Sent” you see whether it was opened.

Secure mail: attachments

Files can now be attached to secure messages. They are encrypted in blocks in your browser before they are uploaded; name and type are only in the encrypted text. Recipients download them with one click, the browser checks every block. Your plan's attachment limits apply as for normal mail.

Status: no longer “away” while you work at the computer

If the sarebamail agent is running, any mouse or keyboard input on the computer counts for the status – also in other programs, like in Teams. Until now you were away after 5 minutes without input in a sarebamail window, and immediately with only the agent in the background. The agent only reports how many seconds ago the last input was; it is not stored. On Linux for now with GNOME.

Secure mail: send and receive messages

The “Secure mail” tab now has Inbox, Sent and “New message”: to sarebamail users with a key – from your own organisation or via the exact address. Subject and text are encrypted in the browser, every message carries the sender's signature and is checked when opened. The agent reports “Secure message from X”, the sidebar shows the number of unread ones. All plans, with a monthly limit; messages do not expire.

Accepting a call from the agent notification with the window open

If the agent's sarebamail window was already open, “Accept” in the agent's call notification (on the Mac the small window at the top right) could do nothing. Now the open window takes the call directly, without reloading – like its own button. A call already running in the window is not affected.

Secure mail: organisation recovery key

Pro admins (for a single account the owner) create a recovery key for the organisation under “Secure mail” – as a whole key or in three parts, of which two are enough, to download or write down. sarebamail stores only the public part with the admin's signature; every member sees the fingerprint and is told about a change. “Check key” shows whether a stored key still matches.

New “Secure mail” tab: your own key

Under “Secure mail” you set up a key that is created in your browser and unlocked only there – protected by a passkey (Windows Hello, Touch ID, phone), a passphrase of your own or both, plus a recovery code for emergencies. sarebamail stores only the public part and the locked key. Sending and receiving secure messages follows in the next steps.

Mail apps: server ready

The mail server now accepts connections from mail apps at mail.sarebamail.com – IMAP on port 993, sending on 587 (STARTTLS) and 465. Once the firewall has been opened, the notice under Settings → Apps disappears.

Office: ODT, DOC, XLS, ODS, ODP, PPT and PDF too (Pro)

The pen icon now also opens OpenDocument files (ODT, ODS, ODP), older Office files (DOC, XLS, PPT), RTF and CSV. They are converted for editing and stored in their own format again when you save; the previous version is kept. New: “As PDF” for every document, spreadsheet and presentation.

Prepared: mail apps via IMAP and SMTP (Pro)

For mailboxes on the sarebamail mail server, access for Thunderbird, Apple Mail, Outlook and phones is built: incoming via IMAP, sending via SMTP, signed in with address and app password, with the same checks as sending in the browser. Deleted items go to the trash. It can be used once the ports are activated – Settings → Apps shows the status.

Installer for Windows

The Windows download is now a small installer: it fetches the right version of the agent (x64 or ARM), checks its signature and sets it up. It stays the same file across many versions – so Windows SmartScreen reports “not commonly downloaded” less often. The program itself is still available on the download page.

Calendar and contacts on your phone and in other apps

Mailboxes on the sarebamail mail server can now add their calendar (CalDAV) and contacts (CardDAV) to iPhone, iPad, Mac, Android (e.g. with DAVx⁵) or Thunderbird – under Settings → Apps, with one app password per device. Anything an app sends that sarebamail does not show (attendees, photos, birthdays) is kept.

Office: presentations in the browser (Pro)

In My files, “New presentation” creates a presentation, and PowerPoint files (PPTX) open in the browser with the pen icon: add, reorder and duplicate slides, place text boxes and images freely, fonts, colours, alignment, bullets and background, plus full-screen presenting. Saving creates a new version, the original is kept. Charts, tables, shapes and animations not yet.

My files as a drive

“As a drive” in My files connects Explorer, Finder or another WebDAV program. You sign in with an app password per device that can be revoked individually. Deleted items go to the trash, same names become new versions; currently up to 32 MB per file.

A file with the same name can become a new version instead of a second file. The clock icon shows all versions with time and who uploaded them; earlier ones can be downloaded and restored. A version is only deleted by hand.

Share My files

Folders and files can be shared with members of your own organisation – to read or to edit (upload, rename, move, delete inside the shared folder). Shared items appear for the others under “Shared with me” and stay with the owner.

Spam on the overview

A tile on the overview shows how many messages the spam filter is holding for your addresses and leads to Mail security. There, “My spam protection” shows how many days the quarantine covers: Free 14, Pro 90 days.

Whoever created a meeting copies the “guest link”; external invitees receive it with the invitation. Guests need no account: they enter a name, wait in the waiting room and join once you admit them – a card at the top of the window announces each new guest. Calls survive a server restart

When the server restarted (for example during an update), a running call got stuck at “Connection interrupted”. It now reconnects as soon as the server is back. If the other person calls again while the old call hangs, the new call replaces the old one instead of reporting “busy”. During a call the status says “In a call”.

Interruptions are shown and bridged

If the connection to someone drops during a call (network change, dead spot), their image shows “Connection interrupted – reconnecting …” and sarebamail rebuilds it by itself; afterwards “Connection restored” appears briefly. If your own internet connection is missing or the server does not respond, a bar at the top of the app and in the call says so. An interrupted file transfer is fetched again automatically.

Files in chat – device to device

Use the paper clip in the chat (also in the chat during a call) to send files. They go directly from device to device and are not stored on the server; afterwards every recipient has them locally and can open or save them. If a recipient is not online, their device fetches the file as soon as a device with the file is reachable. How large a file may be depends on your plan.

Screen sharing with camera images

Rules by right-click

Right-click a message and choose “Create rule…” to set up a filter rule, prefilled with sender and subject – for example “move to folder” or “mark as read”. Under Settings → Aliases you create additional addresses for your mailbox. Messages to an alias arrive in your inbox, and when composing you choose it as sender; when you reply to a message sent to the alias, it is preselected. Aliases are part of the Pro plan (up to ten); the Free plan does not include them.

Create an account yourself

Once registration is open, you can create a free sarebamail mailbox under “Create account” – with an existing email address as contact or via “I don't have an email address yet”. Without a contact address stricter rules apply, such as a trial period with limits for outgoing messages; which ones is shown on the page before you submit. To protect against automatically created accounts, the browser briefly solves a task when you submit, without picture puzzles and without third parties.

For mailboxes on the sarebamail mail server with a confirmed contact address, the sign-in page now offers “Forgot password?”. The link goes to the contact address and is valid for 30 minutes; afterwards all sessions and paired devices are signed out.

Mailboxes on sarebamail’s own mail server now send by themselves – with DKIM signature. Recipients on sarebamail get the message immediately; to other servers the mail server delivers with verified encryption where the recipient offers it, retrying for up to 5 days. If that fails, a non-delivery report arrives in your inbox.

Suppress background noise

During calls sarebamail now suppresses background noise – where browser and system support it, with voice isolation that clearly separates the voice from the background. A button in the call turns it off and on again without interrupting the conversation; the browser remembers the choice.

Full screen in calls

A dedicated button in the call switches the whole call to full screen. In the agent app a video call gets the full height right away; the button next to it brings the chat back below. Call window with Accept and Decline

A call shows up in the agent with the caller’s name, a green “Accept” and a red “Decline” button – on the Mac as its own window in front, on Windows as a call notification. “Decline” really declines the call: the caller sees it, and all windows stop ringing (from agent 1.0.0.9).

Agent update on the Mac

An older copy of the agent (for example still in the Downloads folder) no longer overwrites the installed newer version but starts it. After an update the agent restarts reliably (from agent 1.0.0.8).

An incoming call rings in the browser and in the agent on the Mac with a clearly audible tone of four short beeps, every two seconds or so.

Calls when the camera is in use

If another application is using the camera, a video call continues without your own picture instead of failing. A busy or missing microphone gets its own clear message.

Calls on the Mac

The agent on macOS stays reachable in the background and rings repeatedly on a call until it is accepted, declined or hung up – even if notifications are turned off in System Settings. If they are off, the agent menu shows “Allow notifications…” (from agent 1.0.0.7).

News and what’s new on the overview

The overview shows the latest changes to sarebamail and a “News” area with announcements from the operator and current headlines in your language. The server fetches the headlines – the news site learns nothing until you open a link.

Plans and limits

Settings → Plan shows the limits of your account and how many messages you sent today. If your plan does not allow attachments, attaching is disabled when composing; when a limit is reached, sarebamail tells you which one.

Recurring appointments

Appointments can repeat daily, weekly, monthly or yearly, also every 2, 3 … days, weeks, months or years, without end or until a date. When editing or deleting a recurring appointment, the calendar asks whether you mean only this one, this and all following, or the whole series.

Right-click menus everywhere

Overview, module bar, mail reading pane, chat (conversations, channels, folders, messages, calls), calendar, contacts, tasks, notes, devices and user management offer the actions available there on right-click – such as open, open in new tab, call, quote, new appointment here, priority, colour or delete with confirmation. Ctrl+right-click and input fields keep the browser menu.
